SOIE Terms and Conditions/Agreement 

 

Sending your deposit across legally binds you to the terms and conditions stated below. 

 

 

Contact/Communication 

1a. All contact will be made with the bride only, even if payment if being made via a friend/sister/mum, all contact must be made through and with the bride. 

 

1b. Initially the most efficient way of communication is to complete our online enquiry form, as we receive those direct by email. This then gives us all the correct information, to deliver you an exact quote. 

 

1c. Although we love to connect with all brides/clients on our social media platforms, unfortunately questions can’t be answered via our social media as they may not be monitored daily, and they can be a very unreliable form of communication. 

 

1c. During peak wedding season, please allow extra time for responses as we are back-to-back with weddings during the week and weekends. 

 

 

Deposit

2a. Upon initial contact with your preferred artist, and once a verbal agreement has been established, we can hold your wedding day for two days. If your deposit isn’t received within that timeframe your date may be withdrawn and released. Only upon receiving your deposit, will your date be secured and, in your artists, /additional artists diary. 


2b. Upon booking and reserving your wedding day, a non-refundable, non-transferable deposit of £50 is required via BACS transfer. This will then be deducted from your final invoice. 

 

2c. It is your responsibility to notify us once you’ve sent your deposit, failure to notify may prolong and delay the process.

 

 

Payment 

3a. The bride is responsible for all and the whole payment. In some scenarios your bridal party may be paying for their makeup individually, if this is the case, it is the bride’s responsibility to obtain all monies and transfer via BACS.  

 

3b. It is your responsibility to notify us once you’ve sent the final balance. This is due 21 days before your wedding date.

 

3c. Your deposit of £50 will come off your final balance at the end.

 

3d. our services will not begin until the final balance has been received and cleared. So, it’s important that payment is made within in time frame stated in 3b. 

 

3e. As proof of payment and for our records please email screen shots of any payments made via BACS and make sure you always reference your full name and wedding day. 

 

3f. all payments need to be made in the times requested, no earlier or later than the dates provided in section 2a and 3b. 

 

 

Travel 

4a. We are happy to travel to any destination needed however, are milage does incur a rate of 50p per mile as a round trip. 

 

4b. 1 hour and 30 mins of travel time is included as a round trip (45 mins there, 45 mins back), however any travel time over this will incur a charge of £25 per artist per additional hour and £12.50 per artist per additional 30 minutes. 

 

4c. Should we need to relocate venues on the morning of your wedding a £25 relocation fee will be applied due to your artists having to pack away and set up their equipment and the time that this takes. 

 

4d. If your location is over 2 or more hours away there and back, we will require an overnight stay, at which the costs are chargeable to the client. This will need to be made in advance.

 

4e. When travel is factored into your quote, we base our mileage as an ‘all round trip’, not just one way to your venue. We factor in travel, to and from your wedding venue/get ready location.  

 

 

Trials

5a. All trials are taken place at The Makeup House, Thorpe Estate, Thorpe Constantine, B79 0LH.

 

5b. We can travel for trials, although only for parties of three and more, parties of one/two, are to be done at our resident trial place (see 5a for location).

 

5c. If a mobile booking for a trial is made by the bride, and for any reason you must reduce the numbers, we may have to amend your trial booking to a studio trial, this may result in also having to change the date of your trial. It is important you let us know if you must make a deduction in numbers at your trial, as we have a cancellation policy in place (see 5d for policy).

 

5d. Cancellation policy for trials – We have a 72-hour cancellation policy in place for trial reductions/cancellations. If for example, your mum/maid of honour decided they didn’t want a trial and you informed us within 72 – 48 hours of the trial date, a 50% fee of the trial price must still be paid. If you inform us 48 – 0 hours before, payment in full must still be made. 

 

 

Cancellations

6a. Any cancellation will result in the below fees.

 

If cancelled six months before the wedding day, 25% of the remaining bill is to be paid.
If cancelled four months before 50% of the remaining bill is to be paid. 

If cancelled two months before the wedding day, 100% of the remaining bill is to be paid. 

 

6b. Once you’ve informed us of any cancellations, an invoice will be raised and expected to be paid within 28 days. 

 

6c. You as the client are responsible for ensuring that we receive your written rescheduling/ cancellation. This must be delivered to us via e-mail from yourself and no third party.

 

6d. If you cancel your wedding date without notifying us, we will invoice you for the relevant fees. 

 

 

Reduction/addition in numbers

7a. If for any reason you wish to make a reduction in your numbers, you may do so up until six months before. Any reduction in numbers after this you will still be liable to pay for. In most scenarios we must plan for additional artist to come in and support, and if cancelling the additional artist, within the six months, leads to loss of earnings and other work opportunity’s being missed.

 

7b. We will always try our very best to accommodate any additional makeups required, although if we must make arrangement for an additional artist to assist this may incur an admin fee of £25 to make those arrangements.

 

7c. We will always try and accommodate additional numbers on your wedding day although if this request has been made close to your wedding day, this is something we may have to refuse if we can’t find additional assistance.

 

 

Data Protection

8a. Any information you provide will be held with the utmost care and will not be used in ways that you have not consented to. 

 

8b. All personal information is sorted in a password coded folder that only the artist who’s in charge of your booking will have access too. 

 

 

Photography 

9a. At your trial, we will need to take photos and videos of you for the purpose of recording the trial look. This is to help us recreate the look accurately on the day. This will also give you a true idea of how your look should translate to your wedding photos & video, in different angles, lighting etc. Future clients also love to see examples of our real-life brides and we are proud to share our work on bridal clients with future brides via our website & social media platforms.

 

9c. Please let us know in advance if you do not wish to be in photographs or if you are not happy to appear on images on our social media, promotional material, or website. 

 

 9.d We are more than happy to be photographed on the wedding day whilst in action, if these photos are shared on social media, please credit us accordingly.
